Remember when everyone talked about how we would soon be a paperless society? Now it seems like we use paper more than ever. Let’s face it – we need and we use paper. But Paperless 2 is one of those incredibly useful applications that will help you manage all your paper and digital documents and at the same time positively affect the environment.

Much better now

The last update fixed a lot of the import problems I was having. Its quirky but helps replace Neat, who threw a lot of us under the bus when the decided not to fix their Mac App. Good for basic reciept keeping.

UPDATE - What happened??

UPDATE 1/30/18 - I had contacted the software company regarding this issue, and they responded letting me know that they had submitted a fix/new version to Apple and to wait for the update. Got the update this morning, and the crash/import issue has been fixed. Thanks for the fix, saved me from learning a whole new docu mgmt software system :) ******* I used Paperless for years to keep track of business and personal documents. Then I had to upgrade my computers after moving. I now live in an Airstream, so it’s hugely important that I try to keep everything paperless. Well, I somehow managed to lose my original software license, but I thought it would be worth it to spend another $50 for the software I depended on… oops. Huge mistake. As others have said, it crashes often. When inputting info for a receipt, the fields get weird, and if you hit the wrong key, it will stop responding to the keyboard and you have to get out of that document, close the app and reopen just to complete inputting the information. Now today, after updating the OS software, the Paperless won’t let me import documents - as soon as I hit “Import” the app closes. If I hit the “New Item” button, the app closes. What a waste of money. I should have just gone with Evernote, like everyone else suggests.

Overall good

Paperless works well, overall. It can read many of my receipts and pull out required names and amounts. Biggest downside: It crashes FREQUENTLY!!!!!

Crash…crash…crash

I have been a long time user of Neat. And have had to reevaluate my document management software due to their lack of supporting their desktop version. I settled on PaperLess as it most closely contained my requirements. While overall, the functionality is acceptable, I find the following aspects cumbersome and annoying… 1) Unplug your scanner? Software crashes (I’m still on El Capitan as I type this)… 2) When it crashes, it’s completely random what it saved or didn’t save about your work. I essentially lost almost ALL edits multiple times when I “recovered”. Really? 3) A big “win” for me was it’s ability to create a QIF file for Quicken and receipts. While I’d say PART of this issue is Intuits, the bottom line is, the app FAILS the Y2K test…in 2017?!? Yeah. The QIF file doesn’t use a 4 digit year field. The result? Quicken interpreted ALL of my dates to 1917. I get the fact that Quicken should be smarter than that, but Neat’s export actually INCLUDED the Century…and frankly, that should be the standard (plus, what is Intuit’s spec for a valid QIF file)? I realize I’m offering some negative things. Truth is, this is a decent piece of software. Price isn’t too bad…but some of the fundamentals really need to be fixed. The counter to my first point is the software actually handles the Neat scanners BETTER than the Neat software does under the most recent versions of OS X. I’ll keep using…but I have to say, I’m disappointed in this product as it leaves a bit to be desired.

Garbage. Buggy app.

Ever since I upgraded to macOS Sierra, Paperless has had nothing but problems. 1 The most aggravating bug is when you open a saved document/receipt to view and then attempt to close it, the app crashes. Even with the latest update I downloaded today! This is an ongoing problem. I have no idea what Sierra does to mess up Paperless, but this is the third time it’s happened after a macOS update. And this Paperless update didn’t even fix it. 2 I’m unable to backup my library and data to an external hard disk. It says it backs up, but nothing happens. I’m relegated to backing up to the desktop and then copying the file to my external hard drive. 3 OCR is worthless. Never recognizes any bills, receipts, bank statements…nothing. No dates, no amounts. Zip! Totally worthless. I’m so fed up with what should be a straightforward simple app that I’m considering ditching the entire product and just using my Mac’s Finder feature, creating a separate folder and then subfolders with each type of document or receipt I scan. Then use tags to categorize them, as they are in Paperless. If I were you, I’d avoid this app completely. The aggravation of buggy software isn’t worth paying for.

Good Option for Neat Refugees, Clear Room for Improvement

My paperless office fell apart when Neat abandoned their non-cloud desktop software customers, suddenly, and without warning. Paperless is a good option for people to fall back to, now that they have clearly left the space. Articles covering life after Neat Desktop go into more detail. I still prefer Neat on my older Yosemite machine for scanning, as it has much better OCR than Paperless. Paperless replicates the document management features of Neat well, but scanning and OCR leaves massive room for improvement. Also, a lack of cross-compatibility between Mac and Windows versions of Paperless is another minus. With older, functional Windows PCs quite literally serving as doorstops for me (and many others), it would be really nice to tap one of my spare older Windows PCs to keep a shadow copy of my Paperless vault on, always at the ready.
